At Edgemoor Vets we are committed to respecting and protecting your privacy and adhering to data protection laws. This statement (together with our Terms and Conditions) sets out the ways in which any personal data we collect from you, or that you provide to us, will be processed by us. What information do we collect and why?

When you register your pet with us you will be asked for some essential information including your title, first name, surname, postal address, email address and telephone numbers. We may also ask you to give your details for other reasons. These details are collected either in person or by telephone to help us:-

• Register your details as a new client or update your details if they change;
• Register your pet on health plans;
• Make appointments;
• Process the fees due for any treatment;
• Contact you about your pet or your account;
• Deliver a safe and secure service by helping to prevent and detect fraud. We may need to disclose information to assist legal or debt recovery processes;
• Understand your needs and listen to your feedback via customer surveys;
• Notify you about changes to our service.

How we protect your information

We aim to protect your information by:-

  • Keeping your information up-to-date and accurate. Please note that, to do this, we require you to tell us if any of your details such as your name or address change;
  • Never handing your details onto third parties without your express permission,unless required to do so to comply with legal procedures (see below). This includes data handed from one veterinary practice to another or to another organisation (e.g. complimentary therapists, referral centres). We would always contact you before divulging your records, including diagnostic results such as lab results or radiographs;
  • Never storing your payment details in any form;
  • Having strict security procedures in place for the storage and disclosure of your information to prevent unauthorised access. Our practice management system is cloud based and unfortunately, the transmission of information via the Internet is not completely secure. We use strict procedures and security features to try to prevent unauthorised access.

Statement on the use and disclosure of Personal Data

We will use the information that we hold to send you reminders e.g. vaccination boosters.

We may also telephone you to discuss treatment details.

With your consent we may send you by SMS, email or post, details on offers, products and services which may be of interest to you.
We may use, for the purpose of promotional, marketing and publicity purposes in any media worldwide, any comments or feedback (excluding personal data) which you post publicly or provide to the surgeries, without notice or without any fee being paid.

We will only disclose your personal information to third parties:-

  • If we have been legitimately asked to release or share your personal data in order to comply with any legal or regulatory obligation, or in order to enforce or apply our Terms and Conditions. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.
  • When handling insurance claims, we will forward the relevant notes and copies of invoices to your insurance company on your behalf. Please note that we are legally obliged to share all relevant clinical history with your insurance company upon their request, and failure to do so may affect your claim.
  • If we have your consent to do so.

Your rights

All clinical records, including radiographic images and similar documents relating

your pet are the property of Edgemoor Veterinary Practice. However you as our

client are entitled to have access to any and all of the records we hold regarding

you and your animals. If you require copies of any clinical notes, test results or digital

X-ray images please do not hesitate to ask a member of staff.

We will inform you (before collecting your data) if we intend to process your personal data for marketing purposes. You can exercise your right to prevent such processing by ticking the relevant boxes on the forms we use to collect your data, for example, the details update form.

Our website may, from time to time, contain links to and from the websites of advertisers and affiliates. If you follow a link to any of these websites, please note that they have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

Access Rights

You have a right to access, amend and request the removal of the personal data about you that we hold. We will amend or delete your personal data as long as all outstanding monies are settled.
